Are you finding it a challenge to hold productive staff meetings while working remotely? Whether everyone is in the same time zone or you are 12 hours ahead or behind, planning and thinking are the keys.
After several months of remote work and a lot of prior teleworking, here are several suggestions:
- Written agendas matter. It’s the road map to follow and sets out the goals.
- Have a note-taker whose main job is to take notes, not participate. This gives a clear record of the meeting and allows participants to confirm what occurred.
- Be flexible, adjust to new topics, breaking news, and participant needs.
- Be aware of “zoom fatigue”. Let participants cut off their video, as long as they participate.
- If you don’t have discussion throughout the meeting, provide ample time at the end for discussion and Q&A.
- At the end, save time for wrap up and action items.
- Start on time, end on time.
In the virtual and global world, time zones have become irrelevant. We used to say that the best time for a meeting was Tuesday between 9:30 and 11:45 a.m. The remote world has made this a moot point.
